Bookkeeping for fitness studios
Memberships, class packs, drop-ins, retail and a team of instructors. Your booking software holds the detail. Your books should make sense of it.
Updated October 4, 2026
In short
Fitness, yoga and Pilates studios collect through Mindbody, Glofox, Mariana Tek or Momence: autopay memberships, prepaid class packs, drop-ins and some retail. We split deposits back into those streams, record instructor pay, and track sales tax on retail. Most studios fit Moderate.
How the money moves
How money comes in and goes out
Revenue arrives as booking-software payouts mixing autopay memberships, class packs, intro offers, private sessions and retail, all net of processing fees.
Class packs and annual memberships are paid before the classes happen. Instructors may be employees, contractors, or paid per head. Rent is usually the biggest fixed cost.
Common problems
Where the books usually go wrong
One deposit, five revenue streams
Without splitting payouts, you can't tell whether memberships or class packs are carrying the studio.
Prepaid packs
A 20-class pack sold in January is classes you still owe. On accrual books, that matters.
Instructor pay
Per-class, per-head or hourly, as contractors or staff. It needs consistent recording.
Every month
What we do every month
- Split booking-software payouts into memberships, packs, drop-ins, privates and retail
- Track Florida sales tax on retail separately
- Record instructor pay, with contractor totals ready for 1099s
- Reconcile processor fees and refunds
- Report revenue by stream so you see what's growing
A month of books, for example
A Pilates studio with two rooms takes about $38,000 a month through Mariana Tek. We'd break that into $24,000 of memberships, $9,000 of packs, $3,500 of privates and $1,500 of retail, record nine instructors' pay, and set aside the sales tax on the grip socks and water bottles.
Illustrative example, not a client story.

Questions
Common questions
Do we charge sales tax on memberships?
Retail products are generally taxable in Florida. Whether a particular service is taxable is one for your accountant or the Florida Department of Revenue; we track whatever you collect.
Can you record class packs as owed classes?
If your accountant uses accrual accounting, yes. We'll set it up to match.
Our instructors are contractors. Anything we should do?
Collect a W-9 from each before you pay them. We keep their totals ready for 1099s.
Can you compare two locations?
Yes, using classes, so each studio has its own profit and loss.
