Bookkeeping for home service businesses
Recurring customers, crews on the road, and a field app that takes the payments. Your books should show what each route really earns.
Updated October 4, 2026
In short
Cleaning, landscaping, pest control and pool service companies run recurring visits, collect through a field app, and spend on crews, chemicals, fuel and vehicles. We reconcile field-app payouts, track crew and vehicle costs, and can show profit by service line or route. Most fit our Moderate tier.
How the money moves
How money comes in and goes out
Most revenue is recurring: weekly pool visits, monthly pest service, biweekly cleanings, often on autopay through Jobber, Housecall Pro or Square. Payouts land in batches, net of card fees.
The costs are crews, whether employees or contractors, chemicals and supplies, fuel, vehicle payments and repairs, and equipment that wears out fast in Florida sun and salt.
Common problems
Where the books usually go wrong
Contractor or employee?
Crew members paid as contractors need W-9s and 1099s. Mixing approaches causes trouble later.
Vehicle costs everywhere
Fuel, repairs, insurance and payments spread across cards and accounts make true vehicle cost hard to see.
Recurring payments failing quietly
An autopay card that keeps failing is revenue you think you have but don't.
Every month
What we do every month
- Reconcile field-app payouts to the jobs and invoices behind them
- Record crew pay, with contractor totals kept ready for 1099s
- Group fuel, repairs and payments by vehicle if you want it
- Track chemical and supply costs per service line
- Flag unpaid or failed recurring invoices from the field app
A month of books, for example
A pool service company runs four routes with about 260 weekly accounts on Jobber autopay. Each month we'd reconcile the Jobber payouts, record chemical purchases from two suppliers, and group each truck's fuel and repairs. Their report shows Route 3 earns the least once its longer drive time and fuel are counted.
Illustrative example, not a client story.

Questions
Common questions
Can you show profit by route or service line?
Yes, with classes. It's the quickest way to see which routes or services are worth growing.
Our techs collect checks in the field. Can you match those?
Yes. When they're deposited, we match them to the invoices in your field app.
Do landscaping or pool services charge Florida sales tax?
Some do and some don't, depending on the service. Your accountant or the Florida Department of Revenue can confirm; we keep whatever you collect separate.
We're seasonal. Does the price change?
The monthly price is flat, set on a typical month. If your volume shifts a lot over the year, we'll factor that in at the review.
