Bookkeeping for nonprofits

A nonprofit answers to donors, grantors and a board. Clean books are how you show them every dollar went where it was meant to.

Updated October 4, 2026

In short

Small nonprofits take in donations, grants and event income, some of it restricted to a specific program. We track money by restriction, record grants and their spending, and produce simple monthly reports your board can read, with clean books for whoever prepares your Form 990. Most small nonprofits fit Moderate.

How the money moves

How money comes in and goes out

Money comes from individual donations, often through a giving platform, grants that may be paid in installments and come with reporting, fundraising events, and sometimes program fees or memberships.

Some of it is restricted: a grant for an after-school program can only be spent on that program. The books need to show what's restricted, what's been spent against it, and what's left.

Common problems

Where the books usually go wrong

Restricted money mixed in

When restricted grants sit in the same pool as general donations, it's easy to overspend one program and underreport another.

Grant reporting

Grantors want to see spending against the budget. Pulling that together at the deadline is painful without clean monthly books.

Giving platforms

Donation platforms pay out net of fees, sometimes bundling hundreds of gifts into one deposit.

Every month

What we do every month

  • Record donations and giving-platform payouts at gross, with fees separate
  • Track restricted grants and the spending charged against them
  • Record event income and costs so each event's result is clear
  • Reconcile every bank and card account
  • Send a simple monthly report your treasurer or board can follow

A month of books, for example

A community food pantry receives individual gifts through a giving platform, a $40,000 county grant for a summer program, and runs one gala a year. Each month we'd gross up the platform payouts, charge summer-program costs against the grant, and show the board how much of the grant is left.

Illustrative example, not a client story.

Questions

Common questions

Do you prepare the Form 990?

No. We keep the books your 990 preparer works from, organized the way they'll need them.

Can you track restricted grants?

Yes, using classes or separate accounts, so each grant's balance is clear.

Do you work with volunteer treasurers?

Often. We give them a clean monthly report and answer their questions.

Does Florida require anything of nonprofits?

Many charities that solicit in Florida must register with the Florida Department of Agriculture and Consumer Services. Your accountant or attorney can confirm what applies to you.
